Practice Administrative Coordinator

Job Title: Practice Administration Coordinator
Location: Sometimes at 970 Burrard St, Vancouver BC; Sometimes working from home, sometimes meeting at a co-working space
Start: January 2020. We are looking for one full time practice coordinator and some part time coordinators who can work evenings and weekends.
Reports to: Founder, Clinical Director Jennifer Hollinshead
Job Purpose: Support Practice Operations, Clients and Clinicians in Delivering Client Care

You are a dynamic, enthusiastic and detail-oriented (i.e.- VERY organized) individual. You are always learning and are interested in psychology, intersectional feminism, inclusion and social activism. You take good care of yourself (or are trying to) and are excited to be a part of something awesome. A great sense of humour doesn’t hurt.

The Role:

  • Coordinates client care virtually (we don’t have reception space at our offices): responding to client emails, sometimes scheduling appointments, making people feel welcomed before they step into the office

  • Office organizing and tidying (1-2x/week)

  • Assisting with new staff on-boarding

  • Helping to create sustainable systems that decrease workload and improve client/counsellor experience

  • Assisting with in-person and online programs (event set up, email welcoming)

  • Helping with staff support (supervision scheduling, retreat organizing, professional development organizing)

  • Keeping staff files organized and updated

  • Proofreading blog posts

  • Some errands as needed

  • Some bookkeeping/liaise with bookkeeping team

  • Performs billing for multiple payers (MSP, ICBC, WCB, etc.) and applies and collects non-insured fees where applicable.

  • Order and organize office supplies

  • Tech-savvy: able to work on Jane App, G-Drive, Instagram, Facebook

Experience Required:

  • Knowledge of basic intersectional feminism principles and a desire to continually learn more

  • The ability to be very organized and create “systems” (making the flow of business more streamlined)

  • “Self-starter” who will take initiative instead of only waiting for instruction

  • Can follow direction and ask follow-up questions when needed

  • Has confidence as well as humility

  • Ability to give and receive compliments as well as constructive feedback

  • Proficient writing skills: will be proofreading documents and writing professional emails

  • Communicates clearly and with compassion

  • Project management, event coordination

  • Skilled in developing and maintaining friendly working relationships with clients, staff and external agencies

  • Works well in a professional team environment, while demonstrating excellent communication with staff, clinicians and clients

  • Strong written and verbal communication skills

  • Excellent computer skills with knowledge of MS Office software and EMR is an asset (Accuro in particular)

  • Excellent keyboarding skills (including speed and accuracy)

  • Demonstrated ability to maintain confidentiality and ensure client privacy

  • Capable of identifying and resolving problems quickly and effectively

  • Demonstrates good judgment, tact and diplomacy

  • Adaptable and flexible to deal with changes in an organized manner


  • Although we love our community of clients, we want to preserve the safety of our relationships. Therefore, we won’t be able to hire current or former clients, or close friends/family of current/former clients.

  • Whoever is hired is willing to sign a confidentiality agreement and won’t have access to client case notes.

Hourly Rate and Benefits

  • Pay will be commensurate with experience. Initial Range: $18-22/hr

  • Unfortunately no health benefits at this time, but potential for full time position with benefits in the future.
